Better:

4. Look for tone mismatch

Support tone should shift with the situation.

  • Billing mistake: calm, accountable, clear
  • Bug report: precise, technical enough, not defensive

An off-voice draft might say:

Thank you for reaching out. I’m sorry for the inconvenience you’ve experienced. I understand how frustrating this situation must be. After reviewing your concern, it appears there may be a delay in the system reflecting your upgraded subscription status. Please allow some time and let us know if the issue persists.

Why it feels wrong:

  • Starts too formally
  • Uses generic apology language
  • Says “reviewing your concern” instead of addressing the issue directly

  • Avoids ownership
